Background of the Study
The increasing demand for efficient student support services in higher education has led many institutions to explore innovative technological solutions. At Federal University Dutsin-Ma, Katsina State, AI-powered chatbots have emerged as a promising tool to provide immediate, round-the-clock support to students. These chatbots, driven by natural language processing and machine learning algorithms, are designed to handle a variety of queries ranging from administrative information to academic advising and mental health support (Aminu, 2023). The integration of chatbots into student support services not only alleviates the workload of administrative staff but also ensures that students receive timely and consistent responses to their inquiries.
Moreover, AI-powered chatbots can learn from interactions over time, continuously improving their ability to address complex issues and provide personalized support. By analyzing student interactions, these systems can identify common concerns and provide data-driven insights that inform the improvement of support services (Ibrahim, 2024). Additionally, the scalability of chatbot solutions makes them particularly attractive for large universities where high volumes of student inquiries can overwhelm traditional support channels. However, challenges such as ensuring conversational accuracy, maintaining data privacy, and integrating chatbot systems with existing IT infrastructure remain significant. There are also concerns regarding the potential loss of human touch in student services, which may affect the quality of support provided. This study aims to analyze the impact of AI-powered chatbots on student support services at Federal University Dutsin-Ma by comparing service efficiency, student satisfaction, and overall performance before and after implementation (Aminu, 2023; Ibrahim, 2024; Suleiman, 2025).

Statement of the Problem
Federal University Dutsin-Ma currently faces challenges in delivering efficient and timely student support due to the limitations of traditional support systems. The conventional methods, which rely on manual responses and limited operating hours, often lead to delayed assistance and unmet student needs (Aminu, 2023). Although the implementation of AI-powered chatbots promises to mitigate these issues by providing 24/7 support, their integration is not without challenges. A primary concern is ensuring that the chatbots can accurately understand and respond to diverse student inquiries, which requires sophisticated natural language processing capabilities. Additionally, issues related to data privacy and the security of sensitive student information pose significant barriers to widespread adoption (Ibrahim, 2024). The university also contends with resistance from both students and staff who may be skeptical of the effectiveness of automated support, fearing that it may lack the empathy and nuance of human interaction. Furthermore, technical challenges, such as integrating chatbot systems with existing IT infrastructures and ensuring system reliability during peak periods, have yet to be fully resolved (Suleiman, 2025). These issues collectively hinder the full realization of the potential benefits of AI-powered chatbots in improving student support services. This study seeks to address these challenges by evaluating the performance and impact of chatbot technology at Federal University Dutsin-Ma and recommending solutions to optimize their effectiveness and integration into the university’s support framework.

Objectives of the Study:
• To evaluate the impact of AI-powered chatbots on student support service efficiency.
• To assess student satisfaction with chatbot interactions compared to traditional support methods.
• To recommend strategies for improving chatbot accuracy, integration, and data security.

Research Questions:
• How do AI-powered chatbots affect the efficiency of student support services?
• What are students’ perceptions of chatbot-provided support compared to traditional methods?
• How can integration and data security challenges in chatbot systems be overcome?

Significance of the Study
This study is significant as it explores the impact of AI-powered chatbots on improving student support services at Federal University Dutsin-Ma. The findings will provide valuable insights into optimizing support efficiency, enhancing student satisfaction, and integrating advanced technologies into higher education administrative systems, thereby contributing to improved student services and academic success (Aminu, 2023).

Scope and Limitations of the Study:
This study is limited to evaluating AI-powered chatbot implementations in student support services at Federal University Dutsin-Ma, Katsina State, and does not cover other technological support initiatives.

Definitions of Terms:
AI-Powered Chatbot: An automated conversational agent that uses artificial intelligence to interact with users (Ibrahim, 2024).
Student Support Services: A range of services provided by a university to assist students with academic, personal, and administrative needs (Aminu, 2023).
Natural Language Processing (NLP): A branch of AI that focuses on the interaction between computers and human language (Suleiman, 2025).
